IOTEFL accreditation and professional certification are subject to continuing assurance. Accredited institutions and certified educators are expected to maintain the standards on which approval was granted, report significant changes and complete renewal requirements within the stated timeframe.
Monitoring and renewal protect the integrity of the public registry and help ensure that published status remains reliable.
What accredited members must maintain
Continuing status depends on evidence that approved standards remain embedded in day-to-day practice.
Accurate Organisational Information
Legal, ownership, leadership, contact and operating information must remain accurate and current.
Continued Standards Compliance
Curriculum, staffing, assessment, learner support and quality assurance arrangements must remain effective.
Material Change Notification
Significant changes must be reported promptly so their effect on accreditation can be evaluated.
Evidence & Document Retention
Members should retain reliable records demonstrating implementation, monitoring and corrective action.
A structured review before status expires
Renewal is not automatic. A complete application and supporting evidence must be submitted by the required deadline.
Renewal Notice
IOTEFL issues a reminder before the accreditation or certification expiry date.
Annual Declaration
The member confirms continued compliance and discloses relevant changes or incidents.
Updated Evidence
Current policies, records, qualifications or quality evidence are submitted for review.
Review & Clarification
IOTEFL assesses the submission and may request further evidence, an interview or audit activity.
Renewal Decision
Status is renewed, renewed with conditions, suspended, allowed to expire or referred for further review.
Changes that should be reported
Members should notify IOTEFL when a change may affect the basis on which accreditation or certification was granted, including:
- Change of legal entity, ownership or controlling interest
- Change of trading name, location or principal contact
- New delivery sites, programmes or major online delivery changes
- Significant change in senior leadership or academic responsibility
- Serious learner welfare, safeguarding or integrity incidents
- Regulatory action, insolvency or material legal proceedings
- Substantial change to educator qualifications or professional status
How continuing assurance is maintained
IOTEFL may use proportionate monitoring measures throughout the approval period, such as:
- Annual declarations and documentary review
- Requests for updated evidence
- Targeted interviews or remote review
- Complaints and incident analysis
- Corrective action plans and follow-up checks
- Risk-based audit or site review where appropriate
Failure to cooperate or remedy non-compliance may affect public status and eligibility for renewal.

Decisions are based on the evidence available, the seriousness of any concerns and the member’s response.
Renewed
Status continues for the next approval period where requirements remain satisfied.
Renewed with Conditions
Status continues subject to defined actions, evidence deadlines or enhanced monitoring.
Suspended, Expired or Not Renewed
Public status may be changed where requirements are unmet, evidence is incomplete or renewal is not submitted on time.
